Position Summary

Recruiting Coordination & Scheduling
Manage interview calendars for hiring managers and candidates.
Schedule phone screens, virtual interviews, and on-site interviews.
Coordinate interview logistics, confirmations, and communication.
Arrange candidate travel or accommodations when needed.

Candidate Sourcing & Job Posting
Post and manage job postings across recruiting platforms (career boards, social media, university portals, etc.).
Proactively source candidates using online tools and databases.
Review resumes/applications and identify qualified candidates for HR review.

Candidate Communication
Conduct initial phone screens to assess basic qualifications and interest.
Serve as the primary point of contact for candidates throughout the interview process.
Provide timely, professional follow-up and status updates to applicants.

Onboarding Support
Assist HR with new hire onboarding coordination.
Prepare and send offer letters and new hire paperwork.
Support pre-employment checks as required.
Coordinate “day one” logistics to help create a welcoming new hire experience.

Support HR administrative tasks, reporting, and special projects.
Maintain accurate, confidential records in HR systems.

Requirements
Minimum Qualifications
2+ years of experience in recruiting coordination, HR administration, or a related high-volume administrative role.
Ability to handle sensitive situations and confidential information with discretion.
Proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint).
Strong communication and follow-through; able to partner effectively with hiring managers and recruiters.
Must be able to read, write, speak, and understand spoken English.
Talent Acquisition Coordinator
Preferred Qualifications
Experience managing candidate pipelines in an ATS/HRIS; ability to maintain accurate data entry, status updates, and timely communication.
Experience with proactive sourcing on platforms such as LinkedIn.
Familiarity with employment laws and hiring best practices.
QuickBase experience is a plus.
